SMILE-FX Paid Media Operator Data Deletion Instructions

The SMILE-FX Paid Media Operator is an internal administrative application owned and operated by SMILE-FX Orthodontic & Clear Aligner Studio, 11225 Miramar Parkway, Suite 285, Miramar, Florida 33025. Only authorized SMILE-FX personnel operate it with SMILE-FX-owned or explicitly authorized Meta business assets. It has no public or patient login and is not offered as a consumer application.

Request deletion in three steps

  1. Email [email protected] with the subject Paid Media Operator Data Deletion Request.
  2. Include your full name, the email address associated with SMILE-FX or Meta, and the minimum identifier needed to locate the data. An accepted identifier may be a Meta user, Page, Instagram, WhatsApp, lead, message, or SMILE-FX business-asset identifier. Do not send message contents, lead-form contents, credentials, or sensitive records.
  3. State whether you want a specific record deleted, all eligible app-controlled data associated with you deleted, or only future access revoked.

SMILE-FX targets acknowledgment within five business days. The acknowledgment will provide a request reference and, if needed, instructions for secure identity or authority verification. Do not email passwords, access tokens, protected health information, clinical or treatment details, payment-card information, or copies of sensitive identity documents.

What happens after a request

  1. SMILE-FX verifies that the requester is the data subject, an authorized app user, or an approved representative. Verification is limited to information reasonably necessary for the request and any sensitive proof is handled through an appropriate secure method.
  2. SMILE-FX searches active app records, logs, caches, and exports reasonably linked to the verified requester and enabled workflow.
  3. Eligible data controlled by SMILE-FX is deleted or irreversibly anonymized. Requester-specific app authorizations or credentials are removed when they are not required for a shared business asset.
  4. SMILE-FX sends a completion notice using the request reference or explains any narrowly defined category that must be retained and why.

SMILE-FX targets completion in active systems within 30 days after verification. Backups containing deleted data remain access-restricted and expire or are purged through the applicable backup cycle, targeted within 90 days. Any retained audit evidence is limited to minimal non-content metadata, such as the request reference, timestamps, outcome, and legal basis. That audit metadata is access-restricted and deleted or anonymized after 24 months unless applicable law requires a different period. If a different period applies, SMILE-FX will explain it in the completion response.

Data scope

The current Marketing API workflow uses business and administrative data needed to authenticate authorized operators, identify managed Pages and business assets, read advertising configuration and performance information, and carry out explicitly approved paid-media operations. This can include an authorized operator’s business identity and app authorization, Meta business and advertising object identifiers, Page content or metadata used in the advertising workflow, campaign configuration and performance data, security or audit logs, and temporary app-specific caches or exports.

When a corresponding Meta business capability is enabled and actually used by authorized SMILE-FX personnel to manage Page or social content, leads, comments, or business messages, the app may process limited information supplied through that Meta service, such as a platform identifier, contact detail, lead-form response, message, comment, or related metadata.

The Paid Media Operator is not designed or used as a patient-intake, clinical-record, healthcare-record, or payment-card system. It does not intentionally solicit protected health information for clinical care. If sensitive content is inadvertently received through a Meta business channel, SMILE-FX personnel must minimize its use, remove it from the operator where permitted, and move any necessary intake to an approved secure system.

What may be deleted

Depending on the enabled and actually used workflow, eligible copies controlled by SMILE-FX may include:

  • an authorized operator’s name, business email address, Meta user identifier, permission grants, and app authorization metadata;
  • requester-specific app authorizations or access credentials tied exclusively to the requester;
  • platform identifiers, contact details, lead-form responses, messages, comments, content, or related metadata processed through an enabled business workflow;
  • app-specific logs, caches, or exports that remain reasonably linked to the requester and are not required to be retained.

Meta-hosted data, local copies, and revoking access

SMILE-FX can delete or anonymize eligible copies it controls. Meta-hosted source data remains controlled by Meta and may require a separate request through Meta. Deleting one person’s app-related data does not delete SMILE-FX business assets, advertising records that SMILE-FX must retain, shared system-user credentials, or provider-controlled source data.

An authorized app user may revoke future access in the Meta settings area where the app appears:

Removing the integration stops future access associated with that user but does not necessarily erase eligible local reports, logs, caches, or exports already controlled by SMILE-FX. Use the three-step request above if those copies should also be deleted.

Limited retention

SMILE-FX may retain only information required for applicable legal, regulatory, security, fraud-prevention, dispute, or accounting obligations. Retained information is restricted to the applicable purpose and retention period. Aggregated or irreversibly de-identified information may also be retained.
